Backing out of an offer you already accepted, without burning the bridge

Say so as soon as you decide, and skip the vague wording — it saves the company's time and protects your reputation.

A candidate verbally accepts an offer, HR starts preparing the paperwork, and two days later a better-fitting offer arrives. Staying silent until the last moment, or stalling the answer, does more damage than declining right away.

Write as soon as you decide

The same day you make the call, message the recruiter or hiring manager — don't wait for the start date or the signing appointment. A short reason is enough: a role came up that fits the scope or terms better. You don't need to disclose the details of the competing offer.

Skip the vague wording

"Not ready yet, I'll get back to you" without any intention of returning forces the company to keep the position open and delay looking at other candidates. If the decision is final, say so plainly — a direct decline respects the team's time more than a week of uncertainty.

Say thanks and close it out

Thank them separately for the time spent on interviews and paperwork — that's not a formality, it's acknowledging real effort on their side. Any given industry is a small world: a year from now you might meet the same people at another company's interview, or need a reference from them. A short, polite message without excuses is what people remember, not the decline itself.
